The risks that come with information and data management include:

● Questions over policies and practices of external service providers used to manage people’s information or data

FEAST Festival staff are responsible in mitigating risks with information and data management.

Management of this data also includes the oversight of any external service providers FEAST Festival contracts to manage people’s information and data. While FEAST Festival can outsource this work, it cannot outsource the responsibilities that come with it.

FEAST Festival Board and Senior Staff need to be aware of the risks of their particular practices – including any outsourced to an external service provider – and have processes in place to protect the organisations from those risks.

FEAST Festival also complies with the ACNC Governance Standards, in particular Standard 5 where responsible peoples are meeting their duties including:
● Acting with reasonable care and diligence
● Acting honestly and fairly in the best interests of the charity for its charitable purposes.

Individuals have the right to access and correct their personal information held by FEAST Festival. To request access or correction, please contact the Chair of the Governance + Risk Sub-Committee (see contact details below). FEAST Festival will respond to requests within a reasonable time.

FEAST festival will investigate the complaint and take reasonable steps to resolve it. Feast Festival uses a range of digital platforms and software systems, some of which incorporate large language models (LLM) also known as Artificial Intelligence (AI) features, to assist with administration, communication, accessibility, productivity and organisational operations.

Where AI-enabled tools are used, Feast Festival takes reasonable steps to protect personal information and does not intentionally provide sensitive personal information to publicly accessible AI systems unless appropriate safeguards are in place.

Personal information collected by Feast Festival is handled in accordance with our privacy obligations and is only shared with third-party service providers where necessary to deliver our services and operations. AI features are used to support our work, not to make automated decisions about individuals.

This policy will be reviewed every two years or as required to ensure it remains relevant and effective.
